Managing the service visit

Access the Service Visit page, shown next, by clicking the "Details" button from the vehicle's service lane. You can attach notes specific to the service lane as well as review documents and history. There is also a feature to email and attach documents for your customer directly from Service Dashboard.

  1. Click "Send Message" to open a template for drafting an email to the customer. Click it again to close it. You can also attach documents. Refer to Emailing a document.
  2. Information about the status of the current service is shown. The final status of previous service visits is also shown.
  3. Click "Add Note" to add notes for this particular vehicle. The notes will be available to anyone using Service Dashboard.
    • For example, if the Service Advisor is at lunch, another Service Advisor could check to see if there were notes left regarding the customer or the Technician needing help. The notes appear with the additional functions under the vehicle status timeline.
  4. Final Documents includes PDF reports of today's service visit, including the customer service quote, pre-service write-up, the inspection report and maintenance menu.
    • Click to view or print the PDF document.
    • Click to attach the document to the email template for when you are ready to send the customer a message. Click it again to remove it. Refer to Emailing a document.
    • Click anywhere on a document line to view the document summary in a pane on the right. An example of selecting an Maintenance Menu is shown below. Click in this summary to to view or print the associated PDF.

 

In addition:

  • When an inspection is in 'MPI Completed' status, a Recommendations document appears in Final Documents. This opens the Recommendations page for sending recommendations to your customer via their mobile device or laptop (if Digital MPI is enabled at your dealership). Refer to Communicating Inspection Results with Digital MPI for more information.
  • The Payment tab is for ePay and invoicing functionality if enabled at your dealership. Refer to Invoicing .
  • Click "Back" at the top of the Service Visit page at any time to return to the Vehicle Queue page.

Note: The Messages tab should not currently be used.
